Freelancer Management System

The FMS built for creative orgs with complex problems.

Worksuite is the freelancer management system that removes friction, automating away the admin work. So your teams can focus on bringing ideas to life, not wrestling spreadsheets.

Hiring brilliant freelancers is the easy part. Managing contracts, classifying everyone correctly, tracking time, processing payments, staying compliant at scale — that's where it gets more complex. Worksuite handles all of it in one place, so you can get back to the work that matters.

Six things Worksuite handles so you don’t have to

Freelancer Onboarding

Get talent productive in hours, not weeks.

Manual onboarding is the first thing that breaks when your freelance program scales. Chasing tax forms, waiting on background checks, tracking down signatures. Every delay slows down the work. Worksuite automates every step of the onboarding process, at scale — freeing up your teams to focus on creativity.

  • Custom onboarding workflows built around your compliance requirements.
  • Tax forms, bank details, and ID verification collected automatically. No email follow-ups.
  • Background checks and contractor insurance built into onboarding.
  • Classify every worker correctly before beginning the engagement.
  • E-signature baked in. Nothing starts until everything is signed.
  • Save thousands of hours of admin burden that drains your team.

Your talent is onboarded, compliant, and ready to work. Your teams don’t have to chase anything.

Work Assignment & Budget Control

Get the right people on the right projects, across all your brands.

Assigning work to freelancers across multiple projects, clients, or campaigns without budget visibility is how overspend happens. Worksuite connects work assignments directly to project budgets and SOW contracts, so your team always knows what's been committed, what's been delivered, and what's left.

  • Assign tasks and milestones directly to freelancer profiles.
Deliverables tied to what was agreed.
  • Real-time budget tracking per project. Overspend flagged before invoices are approved, not after.
  • Timesheet submission and approval built in. Hours tracked against the live project, not in a spreadsheet.
  • Multiple engagement types supported. Fixed-rate, hourly, milestones.
  • Full workforce spend visibility across every project, team, and contractor in one dashboard.

No more reconciling invoices against a spreadsheet. No more rogue spend.

Contract Lifecycle Management

Manage all your freelance contracts & renewals in the same platform.

A signed contract should be the beginning of a fruitful freelancer relationship. Not the start of a paper-chasing exercise. Worksuite's contract lifecycle management streamlines every stage: contract creation from approved templates, approval routing, e-signature, expiration monitoring, and auto-renewal. Every contract is connected to classification, payments, and projects in one live record.

  • Build from legal-approved templates to manage thousands of engagements.
  • Standardize contract language across every entity and brand.
  • Route for internal approval and collect signatures in-platform. No PDF back-and-forth.
  • Automate renewals and reminders for ongoing talent relationships.
  • Budget enforcement built in. Invoices that exceed contract value are blocked before approval.
  • Unsigned contract? No payment. Enforced automatically.

Your contracts aren't just documents. They're how your program runs.

FAQ

A Freelancer Management System is a platform that manages the full operational lifecycle of contractors and freelancers — from onboarding, classification, and contract execution through work assignments, time tracking, invoicing, and payment. Unlike a Vendor Management System (VMS), which is built around staffing agency supply chains, or a marketplace like Upwork or Fiverr, an FMS is designed for companies that source and manage their own talent directly. It replaces spreadsheets, disconnected email threads, and manual payment processes with a single system of record — giving HR, ops, finance, and procurement teams unified visibility across their entire contractor population.

A VMS (Vendor Management System) manages the relationship between a company and staffing agencies — it is built around third-party supplier workflows, not direct contractor relationships. An FMS manages the direct relationship between a company and its own freelancer network. An EOR (Employer of Record) co-employs workers as W-2 employees when independent contractor status isn't appropriate — it is a compliance and employment model, not a management platform. A marketplace like Upwork or Toptal provides a supply channel to find new talent, but the company doesn't own or control the talent pool. An FMS is the infrastructure that lets you build, own, and operate your own contractor network, with compliance and payment logic embedded.

Yes. A properly configured FMS supports multiple worker classifications within the same platform. You can create separate onboarding workflows, contract templates, and compliance rules for each worker type — for example, 1099 independent contractors following IC classification workflows, W-2 workers routed to an EOR arrangement, and SOW-based contractors under a separate approval chain. Role-based access controls determine what each user type and worker type can see and do within the system.

Onboarding is template-driven, not manual. NDAs, independent contractor agreements, W-9 collection, and any jurisdiction-specific compliance documents are configured once and automatically issued to each new contractor during their onboarding flow. Automated reminders trigger when documents remain incomplete. A contractor added to the system follows a predefined workflow — classification check, document collection, contract execution — without requiring your team to manually track or chase each step.

A single contractor can carry multiple simultaneous engagements at different rates. A fixed rate for one client, an hourly rate for another, and a project-based rate for a third are all tracked independently within the same contractor record. Time logs, invoices, and cost reporting roll up correctly at the project, client, and cost-center level — so finance sees accurate allocation without manual reconciliation.

Enterprise FMS platforms integrate with accounting systems (QuickBooks, NetSuite, SAP), HRIS platforms (Workday, BambooHR), ATS tools (Greenhouse, Lever, Bullhorn), and productivity suites (Slack, Asana). API-based integrations and CSV data exchange cover systems outside the standard integration library. For payment-specific integrations, the FMS connects to banking and payment rails directly — eliminating the need for a separate accounts payable tool for contractor disbursements.

Classification rules, document requirements, and payment obligations vary by jurisdiction. A compliance-native FMS applies jurisdiction-specific logic at the worker level — enforcing, for example, California's ABC test under AB5 for contractors engaged in California, UK IR35 determination for contractors in the UK, and IRS 1099 requirements for US-based workers. For contractors in countries where independent contractor arrangements carry elevated risk (France, Germany, Brazil, and others), the system can route workers to an EOR arrangement rather than proceeding with direct IC engagement.
